Gapfy DocuVault overview

Gapfy DocuVault is the document management module inside Gapfy Maestro. It brings personal and shared file storage, PDF editing, electronic signature requests and invoice hand-off into one web workspace for teams.

Keep files in My Drive

My Drive provides personal and shared storage with folders, drag and drop upload, file previews and sharing permissions for each person. Storage quotas remain visible, deleted items can be recovered from the recycle bin, and versions stay with a file as it changes.

With a Pro AI seat, DocuVault automatically assigns keywords to files. Search can then find a document by its subject as well as by its name. The My Drive workflow is covered in the My Drive and sharing guide.

Edit PDFs in the browser

Fill and Sign opens a PDF without taking it out of DocuVault. It can fill AcroForm fields and place text, checkmarks and dates. Signatures and initials can be drawn, typed with script fonts or uploaded, then kept in saved signature profiles for repeated use. Typography controls help annotations match the document.

Edit Text covers and replaces existing text instead of claiming to rewrite the PDF's source content. Multi-page navigation keeps longer documents manageable. Versioned exports include a SHA-256 integrity manifest, preserve digital signatures already present in the document, and save directly back to DocuVault. See the PDF editor guide.

Send agreements for signature

Agreements turns any PDF into an ordered signature request. The sender places signature, initials, text, checkbox and date fields on the pages and assigns them to recipients. Each recipient gets an email when it is their turn and can sign from the link without a Gapfy account.

The signer sees the request in their selected language, provides explicit consent, and can use an optional one-time code delivered by email. Recipients can decline with a reason. The sender can change an email address or reassign a recipient while the request is in progress, with reminders and expiry available to control the flow.

After everyone signs, DocuVault seals the final document so tampering is evident, adds a certificate of completion and full audit trail, and archives the result. This is a simple electronic signature under eIDAS. Learn the full flow in the Agreements guide.

Share invoices without sharing the drive
