Getting started

Gapfy DocuVault is the document workspace inside Gapfy Maestro. This guide introduces the main path from uploading a file to sharing, editing or sending it for signature, without requiring you to move the document between separate services.

Open My Drive

Open DocuVault in Maestro and begin in My Drive. My Drive contains personal and shared storage organized with folders. Storage quotas are visible, so you can see how much space is available before adding larger files.

Create a folder for the work, then drag and drop a file to upload it. Open the preview to confirm that the correct document arrived. DocuVault keeps versions with the file as it changes, and deleted items go to the recycle bin so they can be recovered.

Share with the right people

Choose a file and share it only with the people who need access. Permissions are assigned per person, so one recipient's access does not require opening the rest of your drive. Review the selected people and their permissions before completing the share.

If your workspace uses a Pro AI seat, files can receive keywords automatically. Those tags help search find a document by its subject, not only by its filename.

Edit a PDF

For a PDF that needs form values or annotations, open Fill and Sign. You can fill AcroForm fields, place text, checkmarks and dates, and add a drawn, typed or uploaded signature and initials. A saved signature profile makes repeated signing faster.

When existing text needs a visible correction, Edit Text covers and replaces it. Exporting creates a versioned result with a SHA-256 integrity manifest, preserves digital signatures already present, and saves the edited file directly back into DocuVault. Details are in the PDF editor guide.

Send a document for signature

Open Agreements when another person must sign a PDF. Place the required fields on the document, assign them to recipients, and choose the signing order. Each recipient receives an email link when their turn arrives and does not need a Gapfy account.

DocuVault captures explicit consent and can add an emailed one-time code as extra verification. After every recipient signs, the final document is sealed so tampering is evident, accompanied by a certificate of completion and full audit trail, and archived in DocuVault. Prepare invoice hand-off

Use Reconcile to collect invoices and provide your accountant with a focused monthly portal instead of access to your whole drive. The workflow is explained in the Reconcile guide.
